The Owner's Guide to Switching Property Managers Without Losing Bookings

The decision to switch property managers is one that most short-term rental owners delay far longer than they should. The reasons for delay are consistent: fear of losing existing bookings, concern about review history disappearing, uncertainty about the transition process, and the general inertia of staying with something familiar even when it is underperforming.

These fears are largely unfounded. The transition process, when managed correctly, is straightforward, preservable, and can be completed within 14 to 21 days without any loss of bookings, reviews, or listing momentum. This guide explains exactly how it works.

The Signs It Is Time to Switch

Before addressing the mechanics of switching, it is worth establishing when switching is warranted. The following indicators suggest your current management arrangement is underperforming:

Revenue decline without market explanation. If your revenue has dropped 15 percent or more year-on-year and the broader market has not experienced a similar decline, your manager may be under-pricing, under-marketing, or under-maintaining your property.

Communication gaps. If you cannot reach your property manager within 24 hours, if you receive reports less frequently than monthly, or if you learn about issues with your property from guests rather than your manager — the relationship has deteriorated below acceptable standards.

Review score decline. A sustained drop in guest review scores (from 4.8 to 4.5 or below) indicates operational problems: cleaning standards, maintenance responsiveness, or guest communication are failing.

Hidden fees appearing. If your statements show charges you did not agree to — annual advertising fees, guest-ready fees, photography surcharges, or cleaning markups significantly above market rates — your manager's fee structure may not be aligned with your interests.

No multi-channel distribution. If your property is listed exclusively on Airbnb with no presence on Booking.com, corporate platforms, or direct booking channels, you are leaving significant revenue on the table.

What You Keep When You Switch

The most common fear is losing reviews and listing history. Here is the reality:

AssetWhat Happens When You Switch
Airbnb reviewsRemain on the listing permanently (attached to the property, not the manager)
Booking.com reviewsRemain on the listing permanently
Listing photosYours to keep (you own the intellectual property of your property's images)
Guest contact detailsShould be provided by your outgoing manager (they are your guests)
Future bookingsHonoured by the new manager or transferred with guest consent
Superhost statusTransfers with the listing if the listing ownership transfers to you
Listing URL/SEOPreserved if the listing is transferred rather than recreated

The critical point is this: your reviews, your listing history, and your search ranking are attached to the listing itself — not to the management company. When the listing is transferred to your new manager, everything comes with it.

The 21-Day Transition Timeline

Days 1–3: Notification and Agreement Review

Review your current management agreement for termination clauses. Most agreements require 30 to 90 days notice, though some include early termination provisions. If your agreement has expired and is running month-to-month, you typically need only 30 days notice.

Notify your current manager in writing (email is sufficient) that you intend to terminate the management arrangement. Be professional and direct. You do not need to provide reasons.

Days 4–7: New Manager Onboarding

Your new manager will need: property access (keys, codes, building access), current booking calendar (all confirmed future bookings), property inventory and condition report, existing listing credentials (or agreement to transfer the listing), linen, amenity, and supply details, and maintenance contact details and any ongoing issues.

A professional new manager will have a structured onboarding process that captures all of this information efficiently.

Days 8–14: Listing Transfer

The listing transfer process depends on the platform:

Airbnb: The listing can be transferred between co-host accounts. Your outgoing manager removes themselves as co-host; your new manager is added. The listing URL, reviews, and search ranking are preserved entirely. Alternatively, if the listing was created under the manager's account, it can be transferred to your personal account and then co-hosted by the new manager.

Booking.com: The property extranet access is transferred to the new manager. All reviews and booking history remain intact.

Direct bookings: Your guest database and any direct booking website content should be provided to you by the outgoing manager. These are your assets.

Days 15–21: Optimisation and Go-Live

Your new manager reviews and optimises: listing photography (new photos if needed), pricing strategy (recalibrated to current market), listing descriptions and amenity details, channel distribution (adding platforms your previous manager did not use), cleaning and maintenance team setup, and guest communication templates.

By day 21, your property is fully operational under new management with all existing bookings honoured and new bookings flowing.

Handling Existing Bookings

Future bookings that were confirmed under your previous manager are handled in one of three ways:

1. Transfer: The booking is transferred to the new manager who fulfils it. The guest is notified of the management change and provided with new contact details. This is the cleanest option.

2. Honour and handover: The previous manager fulfils remaining bookings during the notice period, then hands over the property with a clean calendar.

3. Guest communication: For bookings far in the future, the guest is contacted, informed of the management change, and given the option to confirm with the new manager or cancel with a full refund.

In practice, guests rarely cancel when informed of a management change. They booked the property, not the manager.

The Financial Transition

Ensure the following financial matters are resolved with your outgoing manager: final statement of all income received and expenses incurred, return of any security deposit or bond held, payment of any outstanding income owed to you, confirmation that all guest security deposits have been properly handled, and return of trust account funds (if managed by a licensed agent).

If your outgoing manager operates a statutory trust account (as all licensed agents must), your funds are protected by law and must be returned within the timeframes specified by the relevant state legislation.
